The Brief — A Rural Village Hall That Needed to Go Fully Online

Kirksanton Village Hall is a community venue in the village of Kirksanton, South Cumbria. The hall has three distinct bookable spaces: the Main Hall, the Meeting Room with Spin Cycle facility, and the Whole Venue as a combined booking. Each space is priced differently based on the type of user — Local Residents pay one rate, Non-local Residents another, and Business or Commercial users a third, across both hourly and full-day options.

Managing bookings manually — by phone, email, and paper diary — created problems familiar to any community venue: double bookings, unclear availability, deposits lost to phone tag, and committee members spending evenings chasing payments rather than managing the hall. The brief was to move the entire booking operation online — real-time availability, online payment, automated confirmation — without making the system complex for a volunteer committee to manage or for local residents to use.

The platform also needed to serve the hall's community programme. A What's On section where events could be listed with full details, poster images, start and end times, room location, and ticket price — and a Book Tickets function allowing attendees to purchase event tickets online rather than paying on the door.

The Booking System — Three Rooms, Tiered Pricing, and a Live Availability Calendar

The booking system handles three distinct bookable spaces — the Main Hall, the Meeting Room and Spin Cycle facility, and the Whole Venue — each with its own pricing structure based on user type. Local Residents are charged £7 per hour or £70 per day for the Main Hall. Non-local Residents pay £9 per hour or £90 per day. Business and Commercial users pay £11 per hour or £110 per day.

Availability is shown on a colour-coded calendar that updates in real time: green for available, amber for provisional bookings, orange for bookings pending payment, and red for confirmed bookings. A booker can see at a glance what is available across a 7-day display range, navigate forward and back through weeks, and select their start date and time directly from the calendar interface.

A £25 breakage deposit is required, and the system handles the payment flow including the refundable £5 key deposit. Commercial bookings require 4 weeks advance payment and proof of public liability insurance — conditions captured and enforced through the booking workflow. Cancellations within 48 hours are charged at the full rate, and the system communicates these terms clearly before confirming any booking.
