The Problem — A Growing Business With No Way For Guests To Book Online
Ros runs Way Out West Mountain Adventures from the Western Lake District — group walks, women-only walks, wild camping, sunrise and sunset adventures, navigation courses, and bespoke days out across some of the most dramatic terrain in England. The business was growing strongly, but every booking came in by phone, email, or social media message. Guests had no way to see what was available, check upcoming dates, or pay online.
Managing multiple activity types across different dates — each with different difficulty levels, participant capacities, and prices — all tracked manually — was becoming unsustainable. Every time a new walk was added to the programme, multiple places needed updating by hand. Every time an event sold out, Ros had to tell people individually. The system could not keep pace with the ambition of the business.
The brief was clear: build a platform that Ros could manage herself without any technical knowledge, that guests could use to find the right walk for their ability, check upcoming dates, and book and pay online — without any manual involvement from Ros at all.


Dynamic Activity and Event Management — Create Once, Update Everywhere
At the heart of the Way Out West system is a two-layer model that puts Ros completely in control of her programme. She creates an activity — a walk with a name, description, distance in kilometres and miles, ascent in metres and feet, difficulty rating from one to three stars, category, What3Words meetup location, and a gallery of photographs from the route. The moment she saves it, that activity is live across the entire site — appearing on the relevant category page, pinned to the interactive map at its exact What3Words meetup location, and available for events to be attached to it.
She then creates events — specific dates and times when that activity runs, each with a maximum participant capacity. Each event is automatically added to the online booking system and appears on the colour-coded events calendar with the correct category colour. Nothing needs to be updated manually anywhere else on the site. One activity record, one event record — the platform handles everything else, including capacity tracking, online payment, and booking confirmation emails to guests.
This architecture means Ros can expand her programme at will — adding new walks, new categories, additional dates for popular routes, and one-off special events — in minutes, not hours, and without involving a developer at any stage. Growing the business does not mean growing the administrative burden.

The Interactive Map — Find the Right Walk, in the Right Place, at the Right Level


The interactive map is one of the most distinctive features of the Way Out West platform. Every activity Ros creates is automatically plotted on a custom Leaflet map as a colour-coded pin at its What3Words meetup location — the precise three-word address that takes guests to the exact car park, field entrance, or trailhead where the group meets. There is no ambiguity about where to be.
Pins are colour-coded by difficulty level. Green pins are beginner-friendly — no mountain walking experience needed, clear paths with manageable terrain. Amber pins are for guests with some walking experience. Red pins are for seasoned walkers — bigger mountain days requiring previous experience. Guests filter by difficulty and by activity category simultaneously, seeing only the walks that match their ability and interests, then clicking through directly to the booking page for that walk.
The map updates automatically every time Ros adds a new activity. No manual map editing, no developer involvement, no separate update process. The activity record powers the map pin, the category page, the calendar entry, and the booking flow — all from a single source of truth in the admin.

Way Out West Mountain Adventures is live. Ros manages her entire programme — walks, events, capacity, bookings, and payments — from a single admin interface without touching a line of code or calling a developer. Guests find their walk on the map, check the upcoming calendar, see availability, book their place, and pay online. The system handles confirmations, capacity tracking, and payment processing automatically.
The website was designed and built by Whamos Ltd. The booking engine was developed by Technophobia Ltd using the custom Outdoor Pursuits Booking plugin — managing activity records, event scheduling, Stripe payments via WooCommerce, gift voucher purchase and redemption with live balance checking, discount code management, and participant capacity tracking from the same admin Ros uses every day.
