A Bespoke Event Management System for Cumbria's Leading Street Food Event Organisers — Now Being Rebuilt in React

Lakeland Life Events are Cumbria's leading street food event organisers — managing events from small private functions to major public festivals including the Whitehaven Weekender and their own Eat Street Cumbria brand. They represent over 50 handpicked food vendors, outside caterers, entertainment acts, security teams, bar and alcohol suppliers, musicians, market stall traders, and first aid providers. Running a street food event at scale means coordinating dozens of suppliers simultaneously — each with their own contact details, category, status, and history of which events they have attended.

Before the EMS, that coordination happened across spreadsheets, email threads, and phone calls. Knowing which vendors were available for a specific event, which had been confirmed, which needed payment, and what the event was generating financially required manual effort that did not scale. As the business grew and the number of events on the calendar increased, the administrative overhead threatened to outpace the team's capacity to deliver.

The brief was to build a system that centralised everything — events, suppliers, clients, orders, and financial reporting — in one place, accessible directly from the WordPress admin, without the cost and lock-in of an enterprise event management platform built for a completely different kind of business.

The Event Management System is a custom WordPress plugin developed by Technophobia Ltd — built directly into the Lakeland Life Events WordPress admin under its own EMS navigation with five core sections: Events, Suppliers, Clients, Orders, and Reports.

The Events section manages the full event lifecycle — from Draft through Upcoming, Active, Completed, and Cancelled. Each event record captures the event name, client, date range, venue, and the suppliers assigned to that specific event. Real events currently in the system include the Whitehaven Weekender Festival at Whitehaven Harbour, the Whitehaven World Cup Event at Marina Arena, Eat Street Cumbria at Maryport Event Area, and multiple table hire jobs at venues including Borrowdale Village Hall. Events are searchable and filterable by status.

The Suppliers section is a complete vendor directory — 22 active registered vendors across eight categories: Food Vendors, Outside Caterers, Security, Entertainment, Stalls, Music, First Aid, and Bar and Alcohol. Each supplier has a vendor number (FV-009 etc), business name, category, contact name, email, phone, and active status. A Pending Applications tab manages new vendor applications before they are added to the active directory.

The Reports section provides financial and operational insight across any date range — Total Revenue, Total Commission, Total Orders, Revenue by Month, Vendor Payouts, and Events reporting — with a date range filter and export capability. Every part of the financial picture of a Lakeland Life event is visible in one screen.

The original Event Management System was built as a custom WordPress plugin — embedded in the Lakeland Life Events WordPress admin, using the existing authentication and hosting infrastructure. It delivered the core capability the business needed: a single place to manage events, vendors, orders, and finances, without the cost and complexity of an off-the-shelf enterprise platform built for a completely different kind of event business.

As the business has grown — more events on the calendar, more vendors in the directory, more complex financial reporting requirements, and a clearer picture of what the system needs to do at scale — the decision was made to rebuild the EMS from scratch as a dedicated React application. The React rebuild is a standalone platform rather than a WordPress plugin — its own front end, its own architecture, its own expanded data model — designed to grow with the business rather than within the constraints of the plugin framework.

The rebuild incorporates everything the original system demonstrated was needed — event lifecycle management, supplier directory with category filtering and application management, client records, order tracking, and financial reporting — and extends it with a more powerful data model, a richer user interface, and the architectural flexibility that a React application provides over a WordPress admin plugin. When the rebuild goes live, Lakeland Life Events will have a bespoke event management platform that matches the scale and ambition of the business.

The EMS was built because the business needed something that did not exist — a system that managed the specific workflow of a professional street food event organiser: vendor directories by category, event-to-supplier assignment, order and revenue tracking per event, financial reporting with vendor payouts, and a pending applications pipeline for growing the vendor network. All of it within a single admin interface that the Lakeland Life team could use without technical training.
